Description of Changes to Xeroxing and Printing (Summer 2007)
One of the things accomplished this summer was to devise a way to reduce xeroxing and printing costs while simultaneously providing better access to printers in Leggett and Klein. The attempt to address these seemingly contradictory goals was to install 5 new Xerox Multi Function Devices in public locations for student and teacher access. These devices replace 5 older machines that were more limited in their functionality and over the next several years, these devices will begin to replace some of the shared laser printers around campus. One of the biggest ways that we waste paper on campus is through print jobs that are abandoned at the printer. These new xerox machines are configured with authentication capabilities so that when you send a print job to a copier, you will have to either swipe your id card or enter your ID # to release your print job.
Location of Xerox copier/printers
These devices are placed in the following locations:
Imperatore Library (color capable) - The Librarians & Barbara Lee are the caretakers for this machine. Contact any one of them to clear jams, etc.
Klein Back Hallway - John Littlefield is responsible for clearing jams.
Leggett 1st Floor Student Lounge - Barbara Lee is responsible for clearing jams.
Pope 1st Floor - Barbara Lee is responsible
Lower School 2nd Floor - Lynne Rullo is responsible for clearing jams.
Lower School 1st Floor (color capable) - Lynne Rullo is responsible for clearing jams.
Umpleby 1st Fl Hallway - Christine Hazarian is responsible for Jams.

New Features
In addition to providing color printing and copying in two locations, these printers will also have the ability to scan documents to pdf files and email them to any valid email address. All of them have the capacity to staple, hole punch, and collate. Before you submit your print job, choose which options you want right on your computer.
Basic Use
How to Install the Necessary Software
In the video below, ignore the reference to the document being Blackboard at the beginning of the video. Those written directions are right below the video on this page.
Note: This procedure only works while on-campus.
Before you can use the Xerox printers, some changes need to be made on your machine. The setup steps are below...
Run the registry file WindowsShareFix.reg and restart your computer. If you don't do this, your connection to the printers will be very slow. To do this:
In Internet Explorer, click here and choose Run when prompted. (In FireFox you need to save the file to your computer first then run it.)
Answer Yes to the Registry Editor window that asks you to confirm the change.
Restart your computer then proceed with the next step below.
Download and install the Equitrac client software. To do this, click the "Start" button (the button on your screen's lower left), then "Run." In the blank box, type: \\roc\equitrac then click OK then. Find the file called "Equitrac Express Client HF-172749.msi" then:
Save this file to your tablet and run it
Run the installer and accept the license agreement.
When you get to the Custom Setup screen, you will have to choose the options you want to install. Click on each item to enable or disable it.
****important**** ALL OPTIONS SHOULD BE DISABLED (Xed out) EXCEPT "PROMPT FOR LOGIN."
On the next screen select your preferred language and click next. On the last screen ONLY WINDOWS PRINTING should be selected.
On the next screen, enter the accounting server: roc.d-e.org
Click install
Finally, you will need to connect to and add the printers you wish to print to. To do this . . .
Click Start / run
Type \\roc
In a few seconds a window should appear listing all of the available printers.
Double-click on each printer you want to use. You will get a warning that the system is going to install a print driver on your machine. Click OK to this, and the printer should be setup in a few more seconds.
Feel free to bring your computer up to the Taub Center if you are having any trouble with this.
Sending a Job to One of the Xerox Machines
Once you have installed the printers you want to use, you can select them the same way you would select any other type of printer in a Windows Print Dialog Box. In Most MS Office applications, they will be listed toward the top of your list of printers and will look something like this: "\\roc\DE Library Xerox." In other applications, they will appear alphabetically with the other printers that begin with the letter D and will appear like this: "DE Library Xerox on Roc."
By default, the library machine is set to print in Black and white, but you can select color printing by clicking on the Properties button next to the printer name in the Print Dialog Box. Note that we will apply a reasonable limit on the number of color prints that any single user can produce.
A few seconds after you send a print job to one of the Xerox machines, you will be prompted to enter your network username and password. When this login screen disappears, if you do not receive an error message, your job will have been sent to the printer.
How to get your printout from the Xerox
Once you have the printers and software installed successfully, you can send jobs to any of these xerox machines. When you get to the machine, you will have to swipe your ID card to access the machine. Follow the posted instructions at each xerox machine to do this correctly. Until you get your card, you should be able to type in your pin number, which was emailed to you on September 4, 2007. To type in your pin, tap on either the "login" button or "keyboard access" button on the Xerox LCD screen.
If you are unable to locate your PIN before you get your ID card in October, please go to the Taub Tech Center or contact the help desk (x3826 ) for assistance. If you lose your ID card after you receive it, you may purchase a replacement in the bookstore.
EQUITRAC UPDATE to version 4.1.1
This update is required for everyone using Windows Vista and should improve the reliability of printing to Xerox machines. Installing it on computers running Windows XP is also ok. STEP 1 - Update/Install Equitrac software: A. Go to the START button Click on "Run". B. Type: \\roc\fix\equpdate C. Click OK.
You will see a green progress bar and a black box. Don't do anything with the boxes. THIS UPDATE WILL RUN AUTOMATICALLY.
After installing this Equitrac update, reinstall any printer you wish to use by following the Reinstall a Xerox instructions immediately below.
How to Reinstall a Xerox or to install a different Xerox
NOTE: You should have already installed the Equitrac software on your computer by following the above instructions. To connect to the new Xerox printer you wish to print to:
Click Start / RUN
Type \\roc
In a few seconds a window should appear listing all of the available printers.
Double-click on each printer you want to use. You will get a warning that the system is going to install a print driver on your machine. Click OK to this, and the printer should be setup in a few more seconds.
Troubleshooting
If you have a good network connection and you are having difficulty printing, you may need to delete and re-install the printer on your computer. To re-install a printer, go to the start button and type \\roc in the search box. When you hit enter, a list of all the network printers will appear. Double click on the printer you want to install.
If you have re-installed a printer and you are still having problems, you may need to repair or re-install the Equitrac Software on your computer. Follow the steps below to do that.
Printer login box (aka Print Assistant) does not appear
Click the "start" button on your computer, then click "control panel" (located diagonally above it, to the right).
Select "Programs and features"
Select and Highlight "Equitrac Express Client"
Above should now appear the word repair. Click on it
Wait until this program completes.
Then try printing again, If it does not work restart the program. And if all else fails restart the machine
Tips
Basic Tips from Mr. Shaw (9/24/08)
Know your pin number. You should have gotten it when you attended tablet training. It is also printed on your ID card. If you deleted it, let me know and I will look it up for you. You can also contact Ms. Lee. You need your pin number to release your job from the Xerox machine.
When you print to the xerox machines, the Print Assistant window will pop up. Type your NETWORK USERNAME AND PASSWORD here. This is the same username and password you use for the school website and email.
If you don't get the login screen, check to see if you have a good network connection (i.e. can you get to the school website?) You might also have to uninstall and re-install the Equitrac Print Assistant software (see instructions above).
When you get to the Xerox machine, swipe your card or enter your PIN code to release your job.
If the paper jams, please don't walk away and leave it. If you can't fix it yourself, please send Ms. Lee an email.
Please don't put hole punched paper in the machine. Hole punched paper tends to jam more frequently. The xerox machines can punch holes in regular paper for you.
I know we all do it once and a while, but try to not wait until one minute before class starts to print out your work. Murphy's law dictates that this is when the machine will break down.
How to print your Equations to the Leggett / Klein Xerox when using Word 2007
When in Word 2007 / OPTIONS / ADVANCED / choose WHEN PRINTING THIS DOCUMENT / choose PRINT POSTSCRIPT OVER TEXT click OK and now print
That should allow equations to be printed correctly and not change the equations ability to be edited. NOTE: This needs to be done for EACH document that you type equations in.
